From Feedback Form to Team Inbox: A Traceable Workflow
Description and use
The implemented feedback workflow uses stable identifiers, stores decisions and notification status, and defines explicit error handling paths, ensuring traceability from the source message to the final owner.
Problem
Teams need a workflow that links a feedback form submission to a clear next action, identifying ownership and ensuring notifications are delivered and traceable.
Outcome
The implemented workflow prevents duplicate processing, clearly tracks ownership, and provides verifiable notification status, improving traceability of feedback handling.
Workflow
- Assign or preserve a stable identifier for each feedback event
- Store the identifier with processing status and timestamps
- Record original message or protected reference, generated category, routing rule, and destination
- Create a ticket and notify its owner, capturing notification acceptance
- Define retry logic and failure handling for email or database errors
- Plan exception paths for missing text, unsupported language, ambiguous category, duplicates, and system failures
- Ensure alerts identify the workflow and record without exposing unnecessary customer data
Evidence
Assign or preserve an identifier as early as possible. If the source sends the same event again, the workflow can check whether it has already been processed rather than creating duplicate records or notifications.
Creating a ticket and notifying its owner are different actions. Capture whether the notification service accepted the request, and define what happens if it fails.
Plan exception paths. Test missing message text, unsupported language, ambiguous category, duplicate event, database error, and email failure.
